Whales Maritime Services is a growing maritime and logistics company providing professional port agency, husbandry, vessel support, cargo coordination, offshore services, and maritime agency solutions across the UAE and Oman.
We are looking for a motivated and detail-oriented Finance Executive to join our Oman team and support our finance and accounting operations.
Position Summary
The Finance Executive will be responsible for managing day-to-day accounting and financial activities, with particular focus on vessel accounts, port agency disbursements, invoicing, collections, supplier payments, reconciliations, and financial reporting.
The ideal candidate should have a strong understanding of accounting principles and preferably 2–3 years of relevant experience in a shipping agency, maritime, logistics, or port-related company in the UAE or Oman.
Key Responsibilities
- Handle day-to-day accounting and finance operations of the Oman office.
- Prepare and process Proforma Disbursement Accounts (PDA), Final Disbursement Accounts (FDA), invoices, credit notes, and related financial documents.
- Monitor vessel-wise and customer-wise accounts and ensure timely financial closure of port calls.
- Coordinate with operations and commercial teams regarding vessel expenses, supplier invoices, and customer billing.
- Verify supplier invoices, supporting documents, and expenses against approved quotations or service orders.
- Process supplier payments and maintain accurate records of outstanding payables.
- Monitor customer receivables and conduct regular follow-up for outstanding payments.
- Prepare and maintain Statements of Accounts (SOA) for customers and suppliers.
- Perform bank, customer, supplier, and general ledger reconciliations.
- Maintain proper documentation and filing of financial records.
- Assist in monthly closing activities and preparation of financial reports.
- Monitor cash flow and provide regular updates on receivables, payables, and outstanding vessel accounts.
- Ensure accurate recording of all financial transactions in the accounting system.
- Coordinate with auditors, banks, suppliers, customers, and internal departments when required.
- Ensure compliance with applicable Oman VAT, tax, accounting, and statutory requirements.
- Support management with financial analysis, reports, and other accounting-related requirements.
- Maintain strict confidentiality of company and financial information.
- Perform other finance and accounting duties assigned by management.
Required Qualifications
- Bachelor's degree in Accounting, Finance, Commerce, or a related discipline.
- Professional accounting qualification such as ACCA, CMA, CA, or equivalent will be an advantage.
- 2–3 years of relevant finance/accounting experience, preferably within a shipping agency, maritime, port agency, logistics, or marine services company.
- Candidates with experience in the UAE or Oman shipping industry will be strongly preferred.
- Good knowledge of accounting principles, bookkeeping, reconciliations, invoicing, receivables, and payables.
- Working knowledge of Oman VAT and applicable financial regulations.
- Strong proficiency in Microsoft Excel and accounting/ERP software.
- Good written and verbal communication skills in English.
- Strong attention to detail and accuracy.
- Ability to work independently and meet strict deadlines, particularly during vessel port calls and month-end closing.
- Strong organizational and time-management skills.
